How do I manage participants who leave the organization?
When a participant leaves your organization, you can update their record to mark them as “No Longer with Company.” This action has several effects:
The participant is marked as “No Longer with Company” in the Participants list.
They are hidden from auto-suggest lists when creating participant Groups or sending invitations.
Their access to Learning Collections and programs is immediately revoked, and they can no longer access content.
Their allocated and activated licenses are released and returned to the available license pool.
Steps to mark a participant as “No Longer with Company”:
Navigate to the People tab in the main navigation.
On the Participants screen, locate the participant you wish to update.
Select the checkbox next to the participant’s name.
A menu will appear at the bottom of the screen. Click the three vertical dots and select “No Longer with Company.”
Important Notes:
This action is not reversible in AdminStudio, so please confirm it is the correct action.
If you only need to remove a participant’s access to specific Learning Collections, you can do so without marking them as "No Longer with Company."
