What automated emails does ExecOnline send to my participants?
The emails ExecOnline sends to participants depend on how you wish to invite the participant (into a Specific Program, or a Learning Collection) the program in which they are registered or enrolled. Below is an overview of the communication structure:
On-Demand Programs
Registration:
Invited to a Specific Program: Participants receive an initial email to finalize enrollment for their program.
Invited to a Learning Collection: Participants receive an initial email to browse available content in their Learning Collection. They will need to follow the in-Platform prompts to complete the enrollment for the selected content and begin the Program.
Reminder emails are sent if participants do not enroll 2, 4, 6, 15, and 30 days after the initial registration emails.
In-Program Reminders:
Once a participant enrolls, they are reminded to work toward completion of their program. Progress reminders are sent 3, 6, 10, 15, 20, 25, 30, and 45 days after enrollment.
Graduation:
A congratulatory email is sent upon program completion.
Follow-up emails inviting participants to return to their Learning Collection and enroll in a new program are sent 1, 3, 7, 15, and 31 days after completion. Please note - this is only true if there are other programs in the Learning Collection for the participant to enroll in.
Immersive Programs
Registration:
Invited to a Specific Program: Participants receive an initial email to finalize enrollment for their program.
Invited to a Learning Collection: Participants receive an initial email to browse available content in their Learning Collection. They will need to follow the in-Platform prompts to complete the enrollment for the selected content and begin the Program.
Reminder emails are sent if participants do not enroll 2, 4, 6, 15, and 30 days after the initial registration emails.
In-Program Reminders:
Scheduled reminders are tailored to the specific program timeline and their progress.
Graduation:
A congratulatory email is sent upon program completion.
Follow-up emails inviting participants to return to their Learning Collection and enroll in a new program are sent 1, 3, 7, 15, and 31 days after completion. Please note - this is only true if there are other programs in the Learning Collection for the participant to enroll in.
Individual Coaching
Registration:
Invited to Leadership Coaching: Participants receive an initial email to finalize enrollment in Leadership Coaching through their unique registration link. Prompts to complete the enrollment and onboarding are provided in-Platform upon following the registration link.
If participants are registered to Leadership Coaching but have not completed the enrollment prompt, reminder emails are sent 2, 4, and 6 days after the original invitation.
Invited to a Learning Collection: Participants receive an initial email to browse available content in their Learning Collection. They will need to follow the in-Platform prompts to complete the enrollment for the selected content and begin the Program
Reminder emails are sent if participants do not enroll 2, 4, 6, 15, and 30 days after the initial registration emails.
No Scheduled Sessions Reminder:
Reminder sent 2 days post-enrollment if a session has not yet been scheduled with their coach.
Weekly reminders sent every Monday for participants who have not scheduled upcoming sessions with their coach.
Upcoming Scheduled Session Reminder:
Email reminders sent 48 hours prior to a participant’s scheduled session with their coach.
Final Sessions Reminder:
A reminder email is sent 3 weeks before the end of the coaching period.
End-of-Session Surveys:
Email surveys are sent after each session and at the conclusion of the coaching period.
End-of-Coaching Survey:
After a participant’s coaching period concludes, they are invited to take a survey to reflect on their overall coaching experience.
Group Coaching
Registration:
An invitation email with a calendar invite is administered by ExecOnline.
Reminders:
Reminder emails are sent to participants 4, 1, and 0 days before the session.
