To set your ExecOnline rollout up for success from day one, we’ve created the Participant Communications Toolkit — a ready-to-use collection of resources designed to help you communicate the opportunity, spark excitement, and sustain engagement throughout the leadership development journey.

The Toolkit includes:

  • Message Templates — optimized versions for email or internal messaging tool (like Slack, Teams, etc) specific for every stage of the participant journey, from nomination through completion and re-engagement

  • Participant Communications & Engagement Best Practices — guidance to tailor your strategy to your culture and maximize participation

  • Graphics — ready-to-use visuals for emails, newsletters, intranet, digital signage, and more

Message Templates

This set of communications is designed for company leaders to send directly to participants, complementing ExecOnline’s own messages. The sequence supports participants through every stage of their journey — from nomination and registration to enrollment, active learning, completion, and continued growth.

Each template comes in two versions: a full email and a shorter message-ready format. Both are crafted to recognize achievements, prompt timely action, and build momentum. The tone balances clarity, motivation, and urgency — helping participants understand the value of the opportunity, see it as an investment in their leadership, and feel supported every step of the way.

Customization tips

Successful internal communications combine what you say (messaging), how you say it (tone), how you share it (channel), and the “what’s in it for me” (incentive).

Messaging

  • Connect to your company’s mission, priorities, or culture.

  • Make it role-relevant—show how it helps in day-to-day work.

  • Personalize with names, teams, or client groups.

Style & Tone

  • Match your company’s voice—formal or conversational.

  • Inspire, don’t just inform. Highlight growth and opportunity.

Distribution

  • Use channels people check daily (email, Slack, Teams).

  • Add leader endorsements to boost participation.

Motivators

  • Social proof: “Your colleagues in X team are already enrolled.”

  • Urgency: Deadlines or limited spots drive action.

  • Progress milestones: Celebrate small wins.

  • Recognition: Public shout-outs build pride.

  • Framing: Position as an investment, not a task.

Branding

  • Add your logo and brand elements for co-branding.

These templates are designed to be easy to use while flexible enough to feel authentic to your culture. For help or examples, reach out to your ExecOnline team.
